Challenge

Rapid project growth, but fragmented management systems

As the number of distributed projects continued to grow, ERA AntPlus realized that traditional data management methods were becoming a major barrier. They not only slowed down the sales team but also directly affected the leadership team’s ability to make timely and accurate decisions.

  • Fragmented and incomplete data: Information about properties, customers, and transactions was scattered across multiple sources. This made data retrieval difficult and prevented the company from having a comprehensive view of its property inventory and the status of each unit.
  • Customer data loss: Customer data was stored manually across Excel files, Zalo conversations, and individual sales files. When salespeople left the company, customer data could leave with them, creating the risk of losing potential customer information and affecting business revenue.
  • Severe duplication and data errors: Without a duplicate-checking mechanism, the same unit or the same project could be entered multiple times by different employees. Inaccurate data led to inaccurate business decisions due to misleading information.
  • Property inventory disputes and unclear access control: There was no clear distinction over which products were managed by whom. Internal disputes among salespeople over property inventory occurred frequently, consuming time and affecting team morale.
  • Manual, slow, and non-visual reporting: The leadership team spent significant time consolidating sales data from multiple sources. There was no dashboard to track the performance of each employee and each project in real time.

1. Unified data across the real estate value chain

All data related to Projects – Properties/Units – Customers – Contracts – Employees is connected and managed on a single platform. Each real estate product is enriched with specialized information, including selling price, sales fee, legal status, unit type, image/video links, and activity history. All information can be instantly accessed on both web and mobile app.

2. Duplicate control and transparent property inventory management

The system uses an advanced duplicate-checking mechanism based on three simultaneous conditions: Unit Code – Project – Subdivision. This helps almost completely eliminate data duplication. At the same time, private/public visibility settings for each property, combined with strict access control, ensure that only the Owner and Admin can make edits. As a result, property inventory is managed more fairly, while internal disputes are significantly reduced.

3. Automated update workflows and intelligent alerts

Cogover Process sets up automated triggers to send email notifications to employees or admins when a property has not been updated after 10 days and 30 days.
